October 7, 2008

PTO Board Meeting Minutes

 

Attending Officials:          Jennette Cruz, President

                                          Paula Smith, Treasurer

                                          Annie Marshall, Secretary

Meeting Called to Order:            Mrs. Jennette Cruz called the meeting to order at 3:30 p.m.

 

I. Treasurer’s Report:     Mrs. Paula Smith reported that there is a balance of $4,592.30 as of October 7, 2008.  Mrs. Smith also reported the purchases since the start of school:

Mrs. Smith reported there were still some pending purchases that needed to be paid for:

$146.90           Fitness Beginnings

$13.84             Kids CD’s

$116.00           Ellison (Pad and Shims)

$78.00             Accucut (Quick change rollers)

II. Old Business: 

 

a.       Tape for Hallway Floors: It had been requested that we replace the worn tape on the floor in the lower grades hallways.  The teachers present informed us that the wider tape was much more effective and that blue was the main color needed with one roll of red for the stop lines.  It was also suggested we place tapelines in the older grade hallways as well.  It was moved and seconded that we pay to replace the tape for all the hallways.  Motion passed.

b.      Barricade for Hall/Foyer of School:  It had been requested by the administration that we provide a barricade to allow students to get through the foyer quickly to get to their buses.  The cost was $59.90 for one barricade (only come in twos) plus shipping.  It was determined four were needed for the area.  It was moved and seconded that four retractable barricades would be purchased for the foyer.  Motion passed.

 

c.       Mrs. Knoll’s Request for Markers:  Mrs. Knoll bought the markers from her budget and will be compensated by the PTO.

 

d.      5th Grade Celebration:  PTO did not give the $150.  Instead we gave them extra syrup from a previous function and Sonic donated ice.  Less than $20 was spent!

 

e.       P.E.- CD’s: Covered in the pending purchases of the treasurer’s report.

 

III. New Requests:

 

a.       5th Grade Incentives for Attending Next PTO Meeting:  The teachers are asking for movie bucks to try and encourage a good turnout of 5th graders.  It was discussed that we should budget money for each general meeting to be used as determined for each event.  It was moved and seconded that we not only provide the 5th grad teachers $30 for movie buck, but that we also allocate $30 per each general PTO meeting to be used as necessary.  Motion Passed.

 

b.      3rd Grade Reading Incentives:  It was requested we provide $20 per teacher per six weeks for teachers to use for incentives (treasure chest), total being $120.  It was moved and seconded that we provide $120 for the 3rd grade teachers for this six weeks.  Motion passed.

 

c.       Accelerated Reader Store:  Mrs. Robles in the Library provides incentives for reading based on a point system.  This is available to all grades and has proved to be very successful in the past.  Since we did not have an estimate of the amount of money needed for this request, it was moved we table the issue until next meeting.

 

d.      Emergency Decisions:  Mrs. Cruz requested the board decide how they wanted emergency/time sensitive issues to be solved.  It was suggested the issue be distributed through e-mail to board members and votes be e-mailed back by the determined deadline.  It was moved and seconded that e-mail votes be the appropriate procedure for emergency decisions.  Motion passed.

 

e.       Reading A-Z:  The back-story to this issue is the 2nd grade did not use the $450 we had budgeted for them last year.   The teachers discovered this program that has 1,000s of downloadable books that can be used for many different subjects.  The discussion concerned whether we should extend this program to all the grades and, if so, which programs for which classes.  It was determined science would be a good program to help us focus on this area.  The cost for each program would be: $39.95/Science per teacher for 12 months, $69.95/Reading per teacher for 12 months.  Some teachers of the older grades had concerns about the amount of copies and ink the printing of books might use.  After much discussion, it was moved and seconded that the 2nd grade teachers would receive the reading program and all the teachers at Buena Vista would receive the science program.  Motion passed.

 

IV. Cookie Dough:  Counting for our cookie dough fundraiser begins tomorrow, October 8, 2008.  The conference room has been reserved for this use.  The room is available from 8:30 to 3:00 and everyone is encouraged to come and help.  Kids are welcome.  We want to have everything done by the 15th.  Mrs. Paula Smith said she would call or e-mail all the people who signed up to help PTO at the beginning of the school year.

 

V. Pumpkins and Poems Contest:  There are two contests per grade and 1st and 2nd,  prize are awarded for each contest.  We also give pencils for each participant.  We need to provide prizes and pencils for this event.  It was moved and seconded that we use $60 to buy prizes and pencils for this contest.  Motion passed.  Side note- volunteers are needed on October 31st to help.

 

VI. Thanksgiving Turkey Raffle:  Mrs. Veronica Oyama is the coordinator for this event.  We will be getting the tickets started ASAP.  The owner of Mr. Gatti’s Pizza, Mr. Skip Baker, paid for 80% of the cost of tickets last year and we are hoping he will do the same this year.  Volunteers will be needed to help pass out tickets.  Members of the board will need to get two turkeys donated for this event.  Make sure and specify the date you need them, last year people received the turkeys on the spot and had to find a place to store them.  It was determined we would print 2500 tickets this year.  The tickets will be sent out on November 3rd and due back November 18th.   Prizes will be given to the tops sellers in each grade (MP3 players).  It was discussed that pencils could be given for students who returned unsold tickets.

 

VII Box Tops:  We need volunteers to help count box tops.  Volunteers were found.

 

      VIII Misc:

 

a.       Website:  It was discussed that we should post the minutes on the website to allow more teachers and parents to see what PTO is doing.

 

b.      Meeting Time:  It was decided we would try a 5:30p.m. time for our next Board meeting to see if this would be a better time for parents/teachers to attend

 

c.       PTO E-mail:  The board decided to create a PTO e-mail address for all PTO business to be conducted on and an easy contact for parents and teachers.

 

Meeting adjourned.  The next meeting will be a Dessert Social on November 13, 2008 at 5:30p.m.  Childcare will be provided.  Please invite anyone interested in PTO to come.
